Which format should I use?

Excel if you want the math done for you — quantities, rates, tax and totals calculate automatically. Word if you prefer full control over the layout. PDF if you just want to print and fill in by hand. All three open in Google Docs/Sheets too.

What has to be on an invoice?

Your business name and contact details, a unique invoice number, issue and due dates, who it bills to, itemized descriptions with quantities and rates, tax, the total due, and — the one most templates forget — exactly how to pay you. The template includes all of it.

How do I number invoices correctly?

Sequentially and uniquely — e.g. INV-2026-0001, INV-2026-0002 — never reusing a number. Gaps are fine; duplicates are not. If numbering by hand makes you nervous, JMJ Office numbers invoices automatically and never issues a duplicate.

What payment terms should I use?

Net-30 (payment due within 30 days) is the most common default for business customers; “due on receipt” fits smaller consumer jobs. Whatever you choose, put it on the quote before the work and repeat it on the invoice — terms only work when they’re stated up front.
